1. Who we are
Computech Business Solutions ("we", "us") operates IMS Suite at ims.edocinfo.com. We act as the data controller for the personal data described in this notice. For personal data you upload into your workspace about your own employees, customers or suppliers, you act as controller and we act as your processor.
2. Personal data we collect
- Account data: name, work email, organization, role, hashed password / SSO identifiers.
- Content: documents, records, risks, audits and other data you or your team upload into the Service.
- Support & communications: emails and messages you send us.
- Usage & telemetry: pages viewed, actions taken, feature usage, error logs, device and browser information.
- Technical: IP address, session tokens, cookies (see section 8).
- AI Copilot: prompts you submit and outputs generated, retained for troubleshooting and audit.
3. Why we use it (purposes & legal bases)
- Provide, secure and improve the Service — contract performance and legitimate interests.
- Authentication, access control, and fraud/abuse prevention — legitimate interests and legal obligation.
- Billing, invoicing and tax compliance (via our Merchant of Record, Paddle) — contract and legal obligation.
- Customer support — contract and legitimate interests.
- Product analytics and error monitoring — legitimate interests.
- Marketing communications, where permitted — consent (you can unsubscribe at any time).
4. Who we share it with
We share personal data only with:
- Subprocessors that host or support the Service, including cloud hosting, database, storage, email delivery and error monitoring providers.
- Paddle.com, our Merchant of Record, which handles checkout, payments, subscription management, tax and invoicing.
- AI model providers used by the AI Copilot (via the Lovable AI Gateway) for prompt inference.
- Professional advisers (legal, accounting) where necessary.
- Authorities where required by law or court order.
We do not sell personal data.
5. International transfers
Some of our subprocessors are located outside the EU/EEA. Where this is the case, transfers are protected by appropriate safeguards, including the European Commission's Standard Contractual Clauses and adequacy decisions where applicable.
6. Retention
We keep personal data only for as long as needed to provide the Service and to meet our legal obligations. Workspace content is retained for the life of your subscription and up to 90 days after termination (export window), then deleted or anonymised. Billing records are retained for the period required by applicable tax law. Backups are rotated on a rolling basis.
7. Your rights
Subject to applicable law, you have the right to access, rectify, erase, restrict or object to processing of your personal data, to data portability, and to withdraw consent at any time. You also have the right to lodge a complaint with a supervisory authority (in Greece, the Hellenic Data Protection Authority). To exercise your rights, email sales@computech.gr. We respond within one month.
8. Cookies
We use essential cookies for authentication and session management, and limited analytics cookies to understand product usage. You can control cookies via your browser settings.
9. Security
We apply appropriate technical and organisational measures to protect personal data, including encryption in transit, role-based access control, row-level security in our database, audit logging, and least-privilege administrative access. No system is 100% secure; report suspected incidents to sales@computech.gr.
10. Changes
We may update this Notice from time to time. Material changes will be notified in-app or by email.
